Department: Omaha Catholic School Consortium Central OfficeReports to: Shannan Brommer, Executive Director
Principal Duties and Responsibilities
• Greets visitors to the Consortium Central office.• Ensures the Consortium Central Offices are presentable and welcoming.
• Receives the daily mail and distributes to the appropriate Consortium Central Office staff member.
• Answers the Consortium main landline telephone and the Executive Director’s landline telephone.
• Prepares correspondence, agendas, memos and other written communication.
• Manages the Executive Director’s calendar, establishes and confirms meetings.
• Prepares for special office appointments, meetings, conferences and events, occasionally outside of normal business hours.
• Preparation of special projects, large mailings and publications.
• Handles and files confidential communication, memos and reports (both computerized and paper).
• Prepares and distributes Board of Directors meeting material, organizes board meetings and attends board meetings to take minutes.
• Attends additional meetings and records minutes as directed.
• Coordinates various functions and provides the logistical support necessary for such activities.
• Assists with entry of invoices into QuickBooks.
• Assists with entries into Raisers Edge.
• Accepts and log payments made in person at the Central Office.
• Other duties as assigned.
Requirements
Knowledge, Skills, and Abilities• Background in and/or knowledge of the Catholic Church with a demonstrated commitment to the mission and teachings of the Church.
• Excellent written and verbal communication skills, including public relations required.
• Bilingual in English and Spanish required.
• Excellent organization and priority-setting abilities, as well as an aptitude for detail required.
• Ability to manage the needs, concerns, and specific issues of key Consortium constituencies.
• Creativity and a self-starter with ability to multi-task.
• Discretion and ability to keep knowledge gained from work in strict confidence.
• Familiar with Microsoft applications.
Education and Experience
• High school diploma.
• Administrative experience desired.
