Principal Duties and Responsibilities

The Donor System and Database Director is responsible for managing the donor information system, Blackbuad’s Raisers Edge NXT for CUES Fund fundraising and development programs. This includes reporting and analysis of data, gift processing and acknowledgments, as well as managing data import and data entry, data extraction, data quality initiatives, and other related activities. The Donor System and Database Director will be the lead contact for data analytics and integrity, working with key staff and stakeholders across CUES Fund to understand data needs and develop actionable insights.


Knowledge, Skills, and Abilities
Systems and Database Management:
• Manage all aspects of Raiser’s Edge NXT database including data integrity, updates, and corrections on a continuous basis.
• Develop effective and efficient systems to manage data connections and transfers between Raiser’s Edge and other CUES Fund systems
• Manages processing of all gifts via mail, credit card, online, and stock transfer
• Strategizes and manages implementation of data enrichment services, determining the best use of Raiser’s Edge NXT features to accomplish the goals of the CUES Fund
• Manage donor website functionality and update the content including fundraising based emails as requested
• Manages vendor relationships to support Development operations
Gift Entry, Acknowledgments & Reconciliation:
• Enter gifts into database with appropriate coding and tracking
• Produces acknowledgement letters/tax receipts while checking for grammatical/typographical mistakes and knowledge of practical tax receipting protocol
• Coordinates with CDO and CEO/Executive Director to analyze donor database and targets communications
• Generates pledge reminders and invoices
• Batches all cash, checks, and credit card donations to the CUES Fund and remits to the accounting team in a timely basis
• Manages the month-end process, troubleshooting and auditing data to ensure the smooth transfer of data to the CUES Fund Accounting team as well as performing a monthly reconciliation report and review with appropriate CUES Fund staff

Education and Experience
• Bachelor's Degree or equivalent experience
• Demonstrated track record (or experience with) successfully working with donor or customer service database systems (preferably Raiser’s Edge NXT)
• Proficiency in Microsoft Office, especially Outlook, Word & Excel (I.e., must be able to perform mail merge, create name tags and an Excel document using simple equations)
• Excellent interpersonal oral and written communication skills required to proofread acknowledgment letters and communicate directly with donors via email or phone
• Possession of pleasant and collaborative style in the workplace including professional attitude, attention to detail, dependability, and initiative
• Strong analytical and organizational skills
• Dependable and punctual
• Someone who takes pride in managing database and is passionate about helping donors
Reporting and Other Functions:
• Develops reports and manages the regular distribution of data, including monthly, quarterly and annual donor reports including but not limited to: monthly scorecard (annual to budget by fund), donor pledge tracking reports, individual donor appeal reports, etc.
• Works with Marketing to support sharing of donor data and information
• Produces queries, reports, lists needed by CUES Fund staff as needed for mailings, events, board, and committee meetings
• Creates custom “dashboards” for CUES Fund staff which demonstrate revenue progress in real-time and manages tasks and actions
• Other duties as assigned
